This policy covers hoashark.com, including the support chat and the free records request tool. HOAShark LLC, a Florida limited liability company, operates the site ("we", "us"). The HOAShark portal at app.hoashark.com is covered by the agreement signed when an account is opened.
Visiting the site
The site does not use cookies or advertising trackers. To understand how the site is used, we use Cloudflare Web Analytics, which counts page views, referring sites and load times without cookies, fingerprinting or a profile of you; we see only totals. Our hosting and security provider, Cloudflare, also processes the technical details every website receives, such as your IP address, browser type and the pages you request, so it can deliver the site and protect it from attacks.
The records request tool
- The letters you build at hoashark.com/request-records and hoashark.com/records-complaint, including any complaint draft, are created in your browser. The names, addresses and other details you type into the letter are not sent to us or stored by us.
- When you type an association's name, we search a copy of the public filings at the Florida Division of Corporations (Sunbiz) to suggest its address on file. We don't keep the search.
- If you click "Check my address with USPS", or pick an association from the list, that address is sent to the U.S. Postal Service's address API to confirm it can receive mail. We don't keep it; we count checks per connection for one hour to prevent abuse.
- To see how the tool is used, it counts anonymous steps, such as opening the tool, picking an association from the list, and copying, printing or downloading a letter. These counts carry no name, email, address, IP address or anything you typed, and no cookie; a random code links the steps of a single visit only. When you pick an association from the list, we record which association, so we know where owners are asking for records. We keep these counts for 24 months.
- If you tick the box to hear from us about reviewing your records, or about HOAShark for agents, we keep your name, email, role (for representatives), the association's name, the consent wording you agreed to and the time, and we may email you about it. Unsubscribing stops all HOAShark emails.
- If you ask for a reminder, we store your email address, the association's name, whether it is a condominium or an HOA, the date it received your request, the deadline we calculated, the exact consent wording you agreed to, the time you agreed, and a one-way code made from your IP address that we use only to limit abuse.
- We use that information only to send the two emails you asked for: a reminder on the deadline day and, about a week later, a short guide to reviewing the records that also describes HOAShark. We don't sell it or share it with anyone else, including CondoCheckpoint.
- Every email has an unsubscribe link. Unsubscribing stops all HOAShark emails to that address.
- We delete reminder records 12 months after the deadline.
Support chat and tickets
- When you use the chat, we keep the conversation so we can answer you and improve our help notes. Long runs of digits, such as account or phone numbers, are masked before the conversation is stored.
- The chat assistant is powered by Anthropic's API. Your messages are sent to Anthropic to generate replies, under Anthropic's commercial terms, which do not allow Anthropic to train its models on them.
- If you leave a message or the assistant opens a ticket, we keep your name (if you give it), your email address and your message so a person can reply.
- Please don't put confidential case details, account numbers or other sensitive information in the chat.
Service providers
Cloudflare hosts the site and its data. Anthropic generates the chat assistant's replies. Postmark sends our emails. The U.S. Postal Service checks addresses when you ask. Each processes information only to provide its service to us.
Your choices
You can ask us to show you, correct or delete the information we hold about you, or to stop emailing you, by writing to support@hoashark.com. We will respond within 30 days.
Children
The site is for adults who own property or work with associations. We don't knowingly collect information from anyone under 18.
Changes
If we change this policy, we will post the new version here with a new date. We won't use information collected under this policy in a materially different way without asking you first.
